Business Partners Secure Messaging Users of our CoxHealth email system have the ability to send a secure email to protect sensitive or confidential information. Who do I notify if I am having problems viewing an encrypted email? Why secure messaging? To comply with the federal privacy law (HIPAA), CoxHealth is requiring all communications containing Protected Health Information (PHI) be secured. Implementing this important and practical security measure requires secure messaging services to protect our email and ensure all PHI remains confidential. Emails containing PHI will be sent securely. Recipients will go through a few simple steps to access messages and will also be able to respond securely free of charge. How will this affect me? Secured email messages are viewable from a desktop or laptop computer by clicking on the attachment SecureEnvelope.html. This link establishes a secure session in your web browser to our Secure Email server. You will need to login to the system to read the email. If this is the first time logging into our system, it will require you to create a user account and password. When I receive an encrypted email, why do I need to set up an account? To view an encrypted email, you will be required to complete a short, one-time registration process and set a password for the account. This will prevent others from being able to read your encrypted mails from CoxHealth employees. Subsequent messages from CoxHealth employees require only the entry of the username and password when using the link provided in the email. How do I view the encrypted email? The encrypted email will have an attachment that contains the original email that was sent to you. When you open the attachment it will take you to the CoxHealth Secure Mail login screen. Upon logging in successfully, the email will be displayed. You will have to perform these steps for each encrypted email you receive from CoxHealth. What do I do after I have viewed/replied to the encrypted email? Once you have viewed and/or replied to the email, you will need to log off the system by clicking on "Logout." You may then close your browser and return to your email client. How long will I be able to access the email? Emails will be available to access and view for 90 days. If you need access to the information past the 90 day period the sender needs to be contacted and the information requested again. What are the specifications for password complexity? The password must be 8 to 32 characters in length. The password must consist of alpha characters, at least one numeric character, and one special character (!@#$%^&*). Common passwords or the user ID will not be allowed. What if I forget my password? Click on Forgot Password and answer the question on the "Forgot Password" screen. You will be prompted to answer the three questions you defined when your account was created. Can I forward an encrypted email to another email address? No. You can only reply to the email. What web browsers can I use to read secure messages? Internet Explorer versions 6, 7 and 8 are currently the only supported browsers. Can I access a secure message from my cellular device? No. Currently secure messages from CoxHealth can only be accessed through Internet Explorer versions 6, 7 and 8. Who do I notify if I am having problems viewing an encrypted email?
